REGISTRATION PASS TERMS AND CONDITIONS

for the

8th IWG World Conference on Women & Sport
14 – 17 November 2022, Auckland and Online, New Zealand (“IWG Conference”)

Women in Sport Aotearoa (“WISPA”) is responsible for the delivery of the IWG Conference on behalf of the International Working Group (IWG) on Women & Sport (“IWG”). WISPA has engaged The Conference Company (“TCC”), as a professional conference organiser, to assist with that delivery. For the purposes of these Terms and Conditions, “we” or “us” is a reference to IWG, WISPA and TCC.

Please read these terms and conditions carefully before purchasing a registration pass. You should carefully consider the refund, cancellation and switch provisions.  Nothing in these terms and conditions is intended to limit any rights you may have under the Consumer Guarantees Act 1993.

These Terms are in effect from 1 August 2021.

  1. Payment

Full payment for registration fees must be received prior to the IWG Conference.

All prices are in New Zealand dollars and exclusive of Goods and Services Tax of 15% unless stated otherwise.

If paying by credit card, you may be required to pay a processing fee of 3.2%.

  1. Pass Access

There are currently two Passes available for purchase for the IWG Conference:

  • The Inspire Pass gives the purchaser access to the virtual experience of the IWG Conference only and will be accessible from almost anywhere in the world with compatible devices and the appropriate internet access. The Inspire Pass does not give entry to the physical experience of the IWG Conference happening in Auckland, New Zealand.
  • The InspirePLUS Pass gives the purchaser access to the hybrid experience. This is the virtual experience of, and physical attendance at, the IWG Conference. Virtual content will be accessible from almost anywhere in the world and with compatible devices and the appropriate internet access. The InspirePLUS Pass gives the purchaser entry to the physical experience of the IWG Conference happening in Auckland, New Zealand.
  • GROUPInspire Pass

A group of 5 or more individuals who are registering to attend the IWG Conference (via an Inspire Pass or an InspirePLUS Pass) may qualify for a 5% group discount off the full listed ticket prices, subject to the following criteria:

    • Each Group participant must be registered.
    • The group must complete their full registrations of the first participants registration to avoid being charged the additional rate for individual ticket purchases.
    • The 5% group discount offer is available across all ticket categories excluding Student registrations which are not able to be purchased at the discounted group rate.

Group bookings will incur a $7.00 (ex GST) charge per individual.

  1. Switching Your Pass

We understand that there may be circumstances in which you may wish to change the type of Pass you have purchased. Should you purchase an Inspire Pass virtual experience, but wish to switch to an InspirePLUS Pass hybrid experience, the difference between the two passes will be payable by the registrant.

Alternatively, if you purchase an InspirePLUS Pass hybrid experience, but wish to switch to an Inspire Pass virtual experience (because you can no longer attend the physical experience, for instance), you will be refunded the difference in cost between the two passes (including GST, where applicable).

Please note that in some cases, tax may be applied on any switches, see taxation information below.

Please also take careful note of the deadlines to switch passes, detailed below.

To switch your pass, please email iwg@theconferencecompany.com requesting the switch, please use ‘Switch my pass’ in the subject line.

You will not be charged an administrative ‘switch fee’ for any changes made.   However, we reserve the right to charge a reasonable administration fee associated with switches made in relation to group bookings  We will notify you of this fee prior to it being charged.

Switch fees only apply in circumstances to do with forced cancellation. See next section.

Further taxation explanation for international and national delegates

New Zealand Goods and Services Tax (“GST”) of 15% is applied to all goods and services delivered inside New Zealand. This applies to both virtual services and physical services, if the end user receives them in New Zealand.

This means that:

  1. If a delegate purchases an Inspire Pass virtual experience and is a resident outside New Zealand, no GST is applied. If a delegate purchases an InspirePLUS Pass hybrid experience and is a resident outside New Zealand, but intends to attend the event in person, GST is applied.
  2. If a delegate is resident outside New Zealand purchases an Inspire Pass virtual experience with no GST applied, and chooses to switch to an InspirePLUS Pass hybrid experience, the difference in the registration price will be payable, and GST will be applied to the cost of the InspirePLUS hybrid experience.
  3. If a delegate resident outside New Zealand purchases an InspirePLUS Pass hybrid experience with GST applied, and chooses to switch to an Inspire Pass virtual experience, the difference in the registration price will be refunded, along with any GST that has been paid
  4. If a delegate is a resident of New Zealand, GST will be applied to both the Inspire Pass virtual experience and the InspirePLUS Pass hybrid experience.
  5. If a delegate is a resident of New Zealand and chooses to switch from the Inspire Pass virtual experience to the InspirePLUS Pass hybrid experience, the difference in the registration price will be payable (including any increase in GST).
  6. If a delegate is a resident of New Zealand and chooses to switch from the InspirePLUS Pass hybrid experience to the Inspire Pass virtual experience, the difference in the registration price will be refunded, along with the difference in any GST that has been paid.

Deadlines to switch passes

You may switch your pass at any time until 7 November 2022, however, please make note of the Earlybird deadline of 31 August 2022. If you purchase a pass before this date, you can switch between passes at any time and still retain the Earlybird rate. However, if your first purchase is after 1 September 2022, you will be paying the standard rate and any switches between passes will also be applied at standard rate.

For example:

Sheryl is based in Canada, and she originally purchased the Earlybird Inspire Pass virtual experience at Band 1 at a cost of NZ$675.00 and was not required to pay tax. Now she has had a change of plan and she would like to attend in person, so would like to switch to an Earlybird InspirePLUS Pass hybrid experience at Band 1 at a cost of NZ$875.00. Because she will be in New Zealand, GST applies.

The amount Sheryl will pay is the registration difference of NZ$200.00, plus a GST cost of 15% to the full registration (which is an additional NZ$131.25). So, to switch from the Inspire Pass to InspirePLUS Pass, Sheryl will have to pay an extra NZ$331.25 (NZ$200.00 difference + $131.25 GST).

If Sheryl made the same choice, but her first purchase was at the Standard price, she would pay the difference in the registration type and GST on the higher standard registration amount. It is recommended that if Sheryl is thinking about attending either as a virtual or a hybrid attendee but has not made her choice, she should book a virtual registration now to reserve the Earlybird price.

  1. Transfer Your Pass

We understand that there may be circumstances where you are unable to attend the IWG Conference after you have registered and you wish to transfer your registration to someone else. 

To transfer your pass, please email iwg@theconferencecompany.com requesting the transfer, please use ‘Transfer my pass’ in the subject line.

You will not be charged an administration for any transfer made.  However, we reserve the right to charge a reasonable administration fee associated with transfers made in relation to group bookings   We will notify you of this fee prior to it being charged. Passes can only be transferred once.

Passes can only be transferred once.

  1. Cancellations and Refunds

Your cancellation

If your circumstances change and you can no longer attend the IWG Conference, you may cancel your registration booking by contacting us at: iwg@theconferencecompany.com.

In the event that you cancel your conference registration IWG shall provide a refund, if any, within thirty (30) days of receipt of the cancellation notice.  The refund amounts will be calculated as follows:

  • for cancellations on or prior to 1 October 2022: we will provide a refund less an administration fee of $125.00 NZD (+ GST if required by law).
  • for cancellations after 1 October 2022: no refunds will be provided.

Please note, that cancelling your registration does not automatically cancel your hotel and travel arrangements. Individuals are responsible for cancelling their own hotel and travel reservations and any associated costs.

Our Cancellation

If, for reasons beyond our control, the IWG Conference is cancelled, registration fees will be refunded after the deduction of an administration fee $125.00 NZD (+ GST if required by law).

If, for reasons beyond our control, the IWG Conference is unable to be deliver the in-person component of the event, all those who are registered for the InspirePLUS Pass hybrid in-person and virtual experience will be automatically be changed to the Inspire Pass virtual experience and receive a refund of the difference between these two passes, less an administrative ‘switch fee’ of $25.00 NZD (+ GST if required by law).

Our Postponement

If, for reasons beyond our control, the IWG Conference is postponed to a later date, you will be provided with the opportunity to either retain your pass for use at the postponed date or receive a refund (less an administration fee of $125 NZD (+ GST if required by law).

  1. Video and Photograph

By attending the IWG Conference, either virtually or physically, you are confirming consent for any video and photographs taken at the IWG Conference, in which you may appear, to be used by WISPA, IWG and future IWG Secretariat and World Conference Hosts in promotion of the Conference.

  1. Information Presented at the Conference

The information presented at the IWG Conference is solely intended for those who have registered.

You understand and agree that you are being provided with the information for educational and informational purposes only and that information will be provided to focus on practical steps we can collectively apply to create opportunities that empower and advance women and girls in sport and physical activity.

You understand and agree that whilst the content is accessible worldwide, some content may be applicable to particular regions only, such as New Zealand.

Although the IWG and WISPA strive to present only current and accurate information at the IWG Conference, you agree not to solely rely on this information or consider it to be any form of professional advice without additional independent review of its accuracy, completeness, efficacy, and timeliness.

Any decisions as to how you use this information is in your sole discretion and the IWG and WISPA will not be liable for any issues that may arise from such use.

  1. Virtual Content Access

You understand and agree that you are accessing the IWG Conference virtual site for your own education and will not provide your log in details to another party or facilitate multiple people to view the meeting content via your device(s).

In-Person attendees must bring their own device with them onsite in order to be able to access the virtual platform.

TCC will provide a virtual help desk for participants with any connection or access issues. Owing to the nature of live streaming an event, TCC, WISPA and IWG cannot be held responsible for any access, IT, internet or WIFI issues a registered passholder may experience before, during or after the live broadcast.

The passholder has, to the best of their ability, ensured that they could access the live broadcast.

An Inspire Pass or InspirePLUS Pass is for one event attendee. By purchasing an Inspire Pass or InspirePLUS Pass, you agree not to share your access code or have others watching the live broadcast.

  1. Participant Conduct

You agree to conduct yourself in a professional manner that is free from any form of discrimination, harassment, or retaliation. Any conduct considered inappropriate or discriminatory may result in ejection from either the physical or digital event.

You agree to treat all participants with respect and consideration to create a collegial, respectful, inclusive, and professional environment at the IWG Conference both in person and virtually.

For those who attend the IWG Conference physically, you must use the NZ COVID Tracer app if required, to scan the specific QR codes displayed. Such QR codes will be located at points of entry.  You should not attend the IWG Conference if subject to any isolation period (for instance, because COVID-19 test results are pending) or if you are feeling unwell. You may also be required to present your vaccine pass in order to enter the venue.

  1. Intellectual Property

All intellectual property in or relating to the IWG Conference including (without limitation) materials, graphics, recordings, copyright works and trade marks is owned by WISPA or by third-party content suppliers. You shall have no right to use, sell, reproduce, copy, distribute or otherwise dispose of such intellectual property rights, and you must not allow any third party to reproduce such intellectual property rights.

  1. Legal Claim

This agreement is subject to the law of New Zealand. In the event of any legal claims arising from either party, New Zealand shall be the sole court of jurisdiction.

  1. Programme

The IWG and WISPA reserve the right to modify the programme, which is published as an indication only.  Any updates to the programme will be made available on the IWG Conference website at www.iwgwomenandsport.org.

  1. Recordings

The IWG and WISPA plan to record the IWG Conference, these recordings may be made available on the IWG Conference website and for distribution to IWG Conference registrants.

In addition, the IWG Conference will be live-streamed.

  1. Review of these Terms and Conditions

These Terms and Conditions may be amended from time to time.  Any updates to these Terms and Conditions will be posted to the IWG website here.

  1. Accompanying Policies and Terms and Conditions

These Terms and Conditions are applied in accompaniment with several other policies, including the Privacy & Data Consent Policy. If you are a contributor to the IWG Conference in another form, including but not withstanding, speakers, moderator or MCs; exhibitors; commercial partners or suppliers; or members of the organising team or board of IWG, WISPA or TCC, you may be subject to additional policies.
